Starting Pay Range – $19.35/hr – $21.30/hr
Summary:
This position is responsible for the efficient day to day office operations of a satellite clinic. Serves as primary contact for communications with clients, staff and the main clinic. Provides administrative support to the Program Manager and clinic staff.
Essential Job Responsibilities:
Administrative Support
· Enters sensitive data into the computer information system in a timely manner. Performs all related self-check, error-correction and date information functions according to timelines.
· Assists clinical staff with information needed to complete documentation and correct QA deficiencies.
· Coordinates and maintains treatment room schedules
· Maintains office supplies and agency forms
· Provides support for staff to track and complete required paperwork
· Assists with correspondence, faxing and copying
· Cross trains to alternate duties as necessary to cover main clinic and other satellite clinics
· Communicates any site maintenance needs to the Facilities Coordinator
· Maintains Tracking and Reports
· Maintains Petty Cash Account
· Maintains department bus passes for consumers
· Records meeting minutes
Reception
· Performs reception duties to include greeting and directing visitors and clients, answering incoming calls, and coordinating clinic and/or medical appointments
· Coordinates scheduling changes and cancellations and enters into computerized appointment scheduler
· Screen and direct inquiries to the appropriate agency staff or program
· Researches next appointments for clients either in person or by phone
· Verifies consumer personal data and provides required paperwork to consumers as needed
· Collects co-pays, deductibles and insurance information
· Appointment reminder calls
· Monitors and maintains lobby as needed
· Ensures proper completion of client required paperwork
Non-essential Job Functions:
- Support agency mission, goals and objectives
- Attends staff and planning meetings as scheduled
- Maintains communication and cooperative working relationships both within the agency and community at large
- Other duties as assigned by Supervisor
Education, Licensing and Experience:
· Minimum of four years of experience in a medical office setting.
· Familiarity with HIPAA regulations and extensive knowledge of insurance and eligibility verification required.
· Knowledge of all insurance payers, billing experience preferred. Must possess excellent organizational and time management skills.
· Ability to work independently with minimal supervision.
· Intermediate knowledge ofMicrosoft Office applications and experience with electronic medical records or comparable databases.

· Competency in: clinical treatments of substance use and addictions, co-occurring disorders, individual crisis intervention; professional ethics, and patients’ rights.
· Demonstrated ability to effectively plan and organize work to satisfactory completion.
· Excellent written and oral communication skills.
· Computer proficiency (Word, Excel).
· Ability to determine an appropriate treatment plan for each patient, and a willingness to train staff to this level.
· Must have access to a car, have a valid driver’s license and current auto registration.
· Ability to pass background checks for Jails and School if assigned to an offsite location.
