Job Overview

Harmony Place, Monterey is located on the beautiful Central Coast of California, Monterey, CA. Our treatment Center focuses on treating clients who are currently struggling with any of the following: Mental Health (depression, anxiety, bipolar disorder, and trauma), Eating Disorders, and/or Chemical Dependency. We offer a unique opportunity by supporting an innovative outpatient alternative to higher levels of care. The program offers our clients 2 levels of care: Intensive Outpatient Program (IOP) and Partial Hospitalization (PHP).

The Admissions and Clinical Assistant is responsible assisting the Admissions and Business Development Director in Intake and Admissions. The Admissions and Clinical Assistant’s main purpose is to serve current and prospective clients in a professional expedient and courteous manner. This position will require assisting the Clinical Director, Lead Therapist and Admissions Director with Clinical phone screenings to determine appropriateness of (preclinical) admission and work with clients/families on the front end of the admission to ensure an efficient and seamless admission process

Our staff of well educated, highly trained healthcare professionals meet daily to ensure the quality of care of the clients offering Clinicians the needed support for one another while working with complex cases.

Intake and Admissions:

Intake, Admissions and Case Management

  • Provide assistance and back up to the Admissions Director with incoming client inquiries.
  • Follows the Intake to Admission Protocol reliably and consistently.
  • Assist in coordinating program patient intakes with Admissions Director and Lead Therapist.
  • Coordinate paperwork prior to admission.
  • Complete intake interviews with prospective and incoming clients when needed.
  • Conduct and coordinate gathering vitals of clients, weekly and ensure timely upload of data into EHR.
  • Conduct UAs as needed.
  • Verify completion of all necessary forms, consents, and other documents in Electronic Health Records (EHR).
  • Coordinate and maintain admissions call log.
  • Follow-up requests for release of previous treatment records including discharge summaries
  • Insure completion of necessary assessments prior to and no later than the day of admission
  • Conduct orientation for new clients
  • Coordinates new client Admissions and communicates arrival information to client and team
  • Ensures pre-admission forms are sent to clients and collected prior to admission
  • Completes insurance verification and benefits review and confirms that coverage meets standards of admissions as dictated by carrier policy.
  • Attend treatment team meetings and assist with documentation of treatment team notes.
  • Conduct case management sessions, as needed, to address recurring client needs and accommodations.
  • Assist clients with relapse prevention, discharge planning and referrals.
  • Assist Clinical Director, as assigned, with specialized casework for treatment non-compliance and relapse issues.
  • Learn about company EHR and documentation.
  • Assist Direct or Admissions with Utilization Review.
  • Cover front desk phones as assigned/needed.
  • Attend groups as needed to document group notes.
  • Monitor KIPU to ensure timeliness of Initial Assessments, Intake documentation, UR and concurrent review assessments, and discharge summaries.
  • Other duties as assigned by Clinical Director, Lead Therapist or Clinical Coordinator.

Knowledge/Skills/Experiences:

  • Utilizing professional methods and techniques of mental health, addictions and dual diagnosis assessment and treatment.
  • Knowledge of various mental health, eating disorder, addictions and related illnesses and implement appropriate methods of treatment including proper processes for interviewing and administering assessments.
  • Recognizes and is sensitive to cultural and ethnic differences while establishing good rapport with clients and families as well as maintaining effective relationships with the clients and the public.

Qualifications and Education

  • Minimum of 2 years post-secondary education and training in the field of mental health.
  • Two (2) years of experience working in substance abuse or mental health field.
  • Experience handling phone intakes, email inquiries and client admissions preferred.
  • DHCS Standard 13010(b) (6) requires personnel files to contain health screening reports and tuberculosis test results.
  • Two (2) years of current, continuous sobriety, if in recovery.
  • Computer skills adequate to perform word processing and EHR duties.
